Overview

Role Overview:

We’re looking for a “go getter” who is excited to learn and be involved in a rapidly growing office environment. This opportunity is well suited for someone with 1-2 years of experience who is seeking to grow in their career in client services.

You will be expected to be able to jump in to support the account management team as needed on project-based work, as well as administrative tasks as needed. From scheduling meetings, determining travel requirements, booking travel, creating briefs on potential clients to assisting in pulling together intricate client budgets and proposals.

Detailed responsibilities:

Project

  • Support the team with content projects that includes: live events, brand experiences, consulting, event management and presentation and branded materials development and design.
  • Understand the client’s and competitors’ brand basics and contribute to the team’s understanding and interpretation of each. Partner with Junior strategist to develop thoughtful competitive analysis on a regular basis.
  • Maintain and consistently update onboarding materials, ensuring new team members are brought up to speed on current client relationships and brand communications process.
  • Support the preparation of detailed budgets for projects, collaborating with senior account management and finance teams.
  • Support the onsite delivery team with client logistics and venue arrangements
  • Oversee the production of event materials
  • Research and coordinate project-related travel logistics with travel partners, including accommodation, flights and ground transportation.
  • Travel to support on site events as needed.

New Business / Non-Project

  • Provide support to new business by assembling presentations for pitching the Imagination suite of services to potential clients, maintaining master credential decks, preparing client new business briefs.
  • Maintain project folders and ensure that all relevant material is shared and accessible to broader project teams.
  • Support project management team and liaise with Finance regarding client invoicing, vendor cash flow, and prep for reconciliation

Administrative

  • Organize meetings and functions at internal/external venues, liaising with contacts both internally and externally.
  • Schedule meetings with internal and external teams, compile agendas, prepare meeting materials, attend meetings as needed, take and transcribe contact reports and assist with any necessary follow up actions
  • Perform expense reporting and time reporting functions for MD of NY/Hous, and other duties as needed.
  • Support as needed in the planning and execution of company events, including staff meetings, happy hours, offsite meetings and parties.
  • Ideation and support the sourcing and production of branded items, gift giveaways, food drives etc.
  • Manage internal and office communications as needed.

Skill Required:

  • 2-3 years of professional work experience
  • Excellent communication skills—this is a client-facing role and requires someone who can communicate well at all levels.
  • Strong organizational and administrative skills, with the ability to prioritize and meet tight deadlines
  • Assertive and confident in negotiating contracts with vendors and venues
  • Proven efficiency, strong accuracy and excellent attention to detail
  • Ability to prioritize and complete tasks efficiently
  • Strong numeracy and database management skills
  • Microsoft PowerPoint and Excel as well as Google Slides and Sheets competency is essential
  • Knowledge of video production beneficial to the role
  • Familiarity with local and national restaurants, venues, and hotels beneficial to the role
  • Event management experience and experience in coordinating executive travel is advantageous

Salary:

The salary band for this position is $80k - $105k annually.

The range listed is just one component of Imagination's total compensation package. Other rewards may include individual and business performance incentive plan based bonus, paid time off, health and life insurance, 401k match etc.
